Importing a Trial Balance (Cloud)
What it is: The process of bringing a client's financial account balances into Draftworx Cloud so they can be linked and used to populate the financial statements.
What it's for
Before Draftworx Cloud can generate any financial statements, it needs the underlying account balances — the trial balance. The import step gets that data in quickly from wherever the client does their bookkeeping: a spreadsheet, or a live accounting application. Direct imports (Sage, Xero, QuickBooks) pull data automatically without a manual spreadsheet step, and they also support features like the Opening Balance Check and automatic linking.
How to do it
Importing from Excel
- Open the Working Trial Balance and confirm you are on the correct tax year tab.
- Select Excel as the import method.
- Click Select File and choose the client's .xlsx spreadsheet.
- Map the spreadsheet columns to the required fields: Account Number, Account Name, Debit, and Credit. If the spreadsheet uses a single signed-amount column rather than separate debit and credit columns, assign accordingly.
- If importing monthly figures for a monthly management accounts engagement, change Import Into to the relevant period. For annual financial statements or year-to-date management accounts, leave it as Opening Balance (the default).
- Click Import. The accounts and balances will appear in the trial balance grid.
Importing from Sage Business Cloud
- On the Working Trial Balance, select Sage Business Cloud under Direct Imports.
- Enter the Sage login credentials for the client's company (not your Draftworx login).
- Select the correct company from the dropdown.
- Configure Import Options: choose whether to import monthly or yearly balances, set the date range, and decide whether to use Automatic Linking, Remove Empty Accounts, or run an Opening Balance Check.
- Click Import.
Importing from Xero
- Select Xero under Direct Imports and click Login.
- Complete the Xero login on the redirected page, then grant access for 30 minutes.
- Confirm the correct company in the Select Company dropdown.
- Set Import Options as needed and click Import.
Importing from QuickBooks Online
- Select QuickBooks under Direct Imports and click Login.
- Complete the QuickBooks login, select the company, configure Import Options, and click Import.
Importing from a Caseware File
- Select Caseware as the import method. On first use, download and install the Caseware Import app (a one-time step).
- Log in to the app with your Draftworx Cloud credentials and select the practice and client engagement.
- Browse to the unzipped Caseware client folder and select the file with the am.dbf extension.
- Choose the target tax year and how many prior years to import (at least three recommended for cashflow automation).
- Review the account number and automatic linking options, then click Import.
Tip: For best cashflow and reconciliation automation, import at least three years of data.
